AI Calendar: A Scheduler That Coordinates for You, No Email Back-and-Forth

A smart calendar that syncs with Google and Outlook, books meetings by finding shared open slots, manages room and resource reservations, and lets your clients book through a public link.

What is the Calendar?

It's your calendar. Anything with a date and time goes here: meetings, appointments, scheduled calls, reminders. What you put here automatically shows up in Daily Plan and, if you invite others, they get a notification.

Views: day, week, month

At the top right there's a selector with Day, Week and Month. Week is the most used — it gives you a balance between detail and context.

Create an event

  1. Click and drag over the day and time where you want to create the event.
  2. Fill in: title, optional description, location (in person or a video-call link).
  3. Add guests — type their names and pick from your company's list, or enter an external email.
  4. Set a reminder (15 min before, 1 hr, 1 day).
  5. Save.

Invitations to external guests

If you invite an external email, Pilot sends them an email with the event details and two buttons: Accept and Decline. When they respond, you see their status on the event.

You agreed with Karina to meet on Thursday at 10:00 to review the proposal.

  1. In Calendar, click Thursday at 10:00.
  2. Title: 'Pro Plan proposal review - Karina'.
  3. Location: paste the Zoom or Google Meet link.
  4. Invite: your colleague Diego (from the team) and Karina (external email).
  5. Reminder: 30 min before.
  6. Save.

Karina gets the email with the invitation. Diego has it added to his calendar. Everyone gets a reminder 30 minutes before.

Recurring events

Turn on 'Repeat' in the event form. You choose a frequency (daily, weekly, monthly) and the date it runs until. Ideal for weekly team meetings or monthly client reviews.

External guests don't receive the invitation email.

Ask the admin to check your company's SMTP configuration. By default, Pilot sends invitations; if it's turned off, they don't go out.

A meeting shows at a different time for my colleague.

That's a time-zone issue. Check that both of you have the correct zone set in your profile.

Frequently asked questions

Does it replace Google Calendar or Outlook?
It doesn't replace them — it powers them up. Pilot connects to your Google Calendar or Outlook and works on top: it books, edits and moves events, but the events still live in your original calendar. If you leave Pilot, your calendar stays exactly as it was.
Is it an alternative to Calendly, Cal.com or Acuity?
Yes. It generates public scheduling links with your rules (availability, buffers, minimum notice, resource capacity). The difference: it integrates with your CRM (clients who book are recorded as leads or contacts), with WhatsApp (you can send the link by chat in one click), and with billing (if the meeting is paid, the link includes a payment link).
Does it manage rooms and physical resources?
Yes. You define meeting rooms, vehicles, equipment and professionals (doctor, lawyer, technician) as 'resources' with their own availability. When you schedule, Pilot reserves them automatically. Useful for clinics, law firms, practices and workshops.
Does it notify participants via WhatsApp?
Yes. If you enable WhatsApp Business reminders, participants get a reminder 24h and 1h before with the meeting link (Zoom/Meet/Teams) and the option to confirm, reschedule or cancel in one click.
What about two-way syncing?
It's two-way. What you schedule in Pilot appears in Google/Outlook. What you schedule directly in Google/Outlook appears in Pilot. The AI respects both directions when detecting conflicts.
