Consulting team reviewing projects by client in Pilot

Common challenges for a firm or consultancy

  • Billable time lost because no one logs the hours in the moment.
  • Proposals built by hand every time, with a risk of inconsistency.
  • Clients waiting for an email reply while threads get mixed up between partners.
  • Billing with tax withholdings done in Excel.
  • Partners with no real visibility into utilization per person, profitability per client, or AR aging.

How Pilot solves each one

Pilot connects your calendar, your corporate email, and your CRM so that each client has a single view: open deals, active projects, recent conversations, pending invoices, and hours worked this month.

Time tracking takes seconds: from the app, from a client's email, from a transcribed meeting. The AI proposes the categorization (client + project + activity type) and you approve it. Hours become billable without anyone filling in timesheets.

Proposals are generated from templates with CRM data (client, scope, assigned team, fees). The AI drafts the initial version; you edit and send it as a PDF or a shared link.

Billing handles LATAM tax withholdings (VAT, withholding at source, income tax), generates the electronic invoice for the corresponding country, and sends a payment link. When the client pays, the income is reconciled and partners see cash flow live.

Reports include: utilization per person (% of hours billed vs available), profitability per client and project, AR aging, and top clients by contribution to profit. Without building anything by hand.

Typical integrations in professional services

Pilot runs in law firms, management consultancies, accountants, and creative agencies across LATAM.

Frequently asked questions

Does it replace Bonsai, Harvest, Toggl, or Clio?
Pilot covers time tracking, billing, CRM, proposals, and project management — what those tools do — plus the AI layer and the connection to WhatsApp/email. For small firms (1-15 people) Pilot replaces the full stack. For large firms with vertical software (Clio for legal, for example), Pilot connects via API and operates as an additional layer.
Does it handle LATAM tax withholdings?
Yes. You configure the tax regimes that apply (VAT, income tax withheld, the client's tax ID, special regimes). Pilot calculates and issues with the correct code for Hacienda CR, SAT MX, AFIP AR, DIAN CO, SII Chile, SUNAT Peru.
Client-attorney / consultant-client confidentiality?
Yes. Granular permissions: each case/client can have access restricted to a set of people. Partners see everything; associates see only their assigned cases. Files are encrypted at rest. For law firms, there's an 'attorney-client privilege' mode that excludes specific conversations from indexed searches.
How does it make collection easier?
Each invoice can include a payment link (Zelr) that the client opens and pays by card, transfer, or bank transfer. Recurring charges (monthly retainers) are debited on their own. Charges for exceeded hours can require client approval with a tap.
Does it work for solo freelancers?
Yes, there's a starter plan for independent professionals. CRM + billing + calendar + time tracking + AI in one place. Useful if you're tired of paying for 4-5 separate tools.
