What Monday does with Pilot

Pilot is an AI-driven, end-to-end business system: CRM, projects, sales, communication, HR, and operations are already included, with no extra tools to add. If you also use Monday, Pilot connects it and orchestrates your boards with AI; it never asks you to migrate or abandon the visual UX your team knows.

Monday has 180,000+ active customers for a reason: the visual UX is exceptional and the boards adapt to any process. Its limit, like every CRM/PM tool, is that it requires user discipline to keep data fresh. Pilot solves that by operating on top of Monday without touching the experience your team already knows.

The integration uses a Monday API Token (Personal API Token or the GraphQL API). Pilot syncs boards, items, updates, columns, and subitems both ways every 5-10 minutes. The AI operates by reading cross-tool context (email, WhatsApp, calendar, transcriptions) and writing into Monday what's appropriate.

It works for Monday's two most common use cases: (a) Monday as a CRM, where Pilot adds follow-ups and moves stages; and (b) Monday as a project manager, where Pilot detects bottlenecks and proposes redistribution.

Beyond updating Monday, it syncs with WhatsApp, email, calendar, transcriptions, ecommerce, and external CRMs (HubSpot/Salesforce if you have both). If your team lives 100% inside Monday and doesn't need AI elsewhere, Monday AI covers it. If your team operates across multiple tools, Pilot fills the gap.

How to connect it

  1. In Monday, go to your Avatar > Admin > API. Generate a Personal API Token (V2).
  2. Copy the token.
  3. In Pilot, go to Settings > Integrations > Monday and paste the token.
  4. Pilot detects the available workspaces and boards. Choose which ones to sync.
  5. For each board, map the columns to Pilot fields (status to stage, person to owner, date to deadline, etc.).
  6. Save, and Pilot starts syncing. The first sync of a workspace with 50 boards/5,000 items takes ~10-15 minutes.

Frequently asked questions

Does Pilot replace Monday?
It can, but it doesn't force you to. If your team loves Monday and the UX, Pilot operates on top without touching the experience. If you want to simplify the stack, Pilot has equivalent modules (CRM, Kanban Boards, Projects) that can replace Monday, but only if the switch makes sense.
Does it support the GraphQL API V2?
Yes. We use GraphQL V2 (Monday's current API). It supports all column types (status, person, date, dropdown, numbers, formula, mirror, connect boards). Mirror and Connect Boards columns sync correctly.
Does it work with every Monday plan?
Yes, from Basic upward. Limitations: Basic has an API call cap (250/minute). For large workspaces, we recommend Standard or Pro (10,000/minute). Enterprise has no cap.
And if I cancel Pilot? Do I lose what it wrote in Monday?
No. Everything Pilot wrote stays in Monday (it's your data and persists). The sync stops, but the items, updates, and assignments remain.
Can Pilot create new boards in Monday?
Yes, but by default it's disabled to avoid proliferation. You enable it if you want (useful for flows where each new customer generates a project board).
