Run your business from WhatsApp — like having a remote manager

Ask Pilot for anything you'd do from your desk: approve expenses, check sales, assign tasks, schedule meetings. From WhatsApp.

@pilot how are sales today?
Today we booked 18 opportunities for 4.2M. María closed Ferretería Andina. Pedro has 3 proposals awaiting a reply. Want the breakdown by rep?
Approve Lucía's expense and schedule me with Pedro tomorrow 10am.
Done. Lucía's expense approved (audit log #4821). Meeting with Pedro confirmed tomorrow 10:00 — Meet link sent to both.

What you can ask the agent

Any action you'd do from Pilot Desk, you can do from WhatsApp.

Check sales

how are sales today? — show me María's pipeline — which opportunities went cold

Approve expenses and proposals

approve Lucía's expense — authorize Pedro's proposal — reject Juan's refund

Assign tasks

assign Pedro the Ferretería proposal — remind María to call the customer tomorrow

Schedule meetings

schedule me with Pedro tomorrow 10am — find slots to meet with the team this week

Run the CRM

move the Ferretería opportunity to 'negotiation' — note that the customer called today

Request reports

send me the weekly summary — conversion chart by stage to the #sales channel

Serve external customers

The agent serves your customers on a separate WhatsApp Business number, with CRM context and replies escalated to your team when needed.

Trigger a broadcast

send the end-of-month promo to inactive customers — coordinate the send over email and WhatsApp

Conversation examples

Real cases your team is already using.

Expense approval

Lucía submits an expense from the Approvals module. Pilot notifies you over WhatsApp: 'Lucía requests approval of $240 for Uber. Reason: visit to customer Andina. Approve?'. You reply 'yes' and it's recorded with an audit log.

Pipeline query

The manager asks 'how's Pedro doing this month?'. Pilot replies with figures from the CRM (HubSpot or Salesforce), opportunities in each stage and a close prediction.

Scheduling

'Schedule me with the sales team this week to review targets'. Pilot finds slots in the Google Calendars of all 5, schedules, sends a Meet link.

External support

A customer writes to your WhatsApp Business: 'do you have the XYZ model available?'. The AI agent checks your Shopify, replies with real stock and schedules a visit if the customer wants to see it.

Security and permissions

Every action the agent executes is recorded with a timestamp, the requesting user and the result. You can revert any action within the first few minutes.

Permissions per user: you define what each person can request from WhatsApp. The manager can approve expenses up to $X; the rep can move opportunities in their pipeline but not in others'; the operative can assign themselves tasks but not approve.

End-to-end encryption: the messages between you and Pilot travel over WhatsApp Business, with the channel's native encryption. Pilot processes the content to understand intent, but doesn't store the messages outside the account's audit log.

Dry-run mode: during the first month, you configure the agent to propose the action and ask for explicit confirmation. When you trust it, you switch to direct mode.

How to get started

  1. Connect your WhatsApp Business account to Pilot (Meta's official forms, 5-10 minutes).
  2. Define which numbers you authorize as 'Pilot users' (manager, sales team, operative).
  3. Configure permissions per user: which modules they can check, which actions they can execute.
  4. Turn on dry-run mode for 2 weeks so the team gets used to it.
  5. Switch to direct mode when you trust the agent's responses.
  6. Add the agent for external customers when you're ready (a separate number, the same engine).

Frequently asked questions

Is it safe to do approvals over WhatsApp?
Yes, with two layers: the channel's end-to-end encryption and Pilot's audit log. Every approval is recorded with timestamp, requesting user, amount and reason. You can revert any action within the first few minutes. Set amount limits per user to minimize risk.
What happens if I make a typo?
If the instruction is ambiguous, the agent asks for confirmation before executing. If the action runs and you want to revert it, you do so with 'cancel the last action' within the first few minutes.
Does it work in WhatsApp groups?
Yes. By mentioning '@pilot' in a team group, the agent replies with info relevant to everyone. Actions that require approval remain individual to the user who requests them.
Do I need the WhatsApp Business API?
Yes. Pilot connects via the WhatsApp Business Cloud API (Meta's official one). Setup is free and takes 5-10 minutes. We don't use unofficial APIs (that violates Meta's TOS and can get the number banned).
How many users can use the agent?
All the ones on your plan. There's no per-user limit on the WhatsApp channel; it's included in the base plan. What's measured is usage (messages/month) and it's charged in blocks.
Can I give the agent access to HubSpot, Salesforce, Quickbooks?
Yes. The agent accesses any integration you have active in Pilot. It reads from your real CRM, writes in your accounting, schedules in your Google Calendar — all with the permissions you define.
Can it be used to serve external customers (not the team)?
Yes, on a separate dedicated WhatsApp Business number. It's the same AI engine but with a different context and permissions (customer support, not internal operation). See the 'AI customer service' use case.
Does it work in English, Spanish, custom tones?
Yes. The agent replies in the tone you configure (LATAM voseo, neutral tuteo, formal). It learns your company's style after the first few weeks.
