Frequently asked questions
How is it different from the Secrets Vault module?
Documents is a classic DMS: files, folders, permissions, versions. It's for contracts, manuals, photos, spreadsheets, proposals — everything that's legitimately shareable within the company. The Secrets Vault is a different thing: a vault for credentials (passwords, API keys, tokens, certificates) with far more restrictive permissions and an audit on every access. If you need to share a PDF with your team, it goes to Documents. If you need to store the Stripe API key, it goes to the Vault.
How does content search work?
The AI indexes the readable content of each file (PDFs, Word, Excel, presentations, images with text) and lets you search in natural language. You can ask for 'NDA contracts from 2024 with retail customers' or 'the proposal we sent to Andina hardware two months ago' and Pilot returns the relevant matches, not just the ones that match by name.
What permissions can I define?
Granular permissions by folder, subfolder, and individual file. Each user can have one of four levels: view only, comment, edit, or manage (which includes permissions over permissions). You can also define rules by role: 'the whole HR team can edit the personnel files folder' or 'reps see the customer folder but not the contracts one'. Every access is recorded in the audit log.
Is there file versioning?
Yes. Every time someone uploads a new version, the previous one is preserved automatically. You can roll back with one click, compare versions side by side, and see who made each change. Useful for contracts under negotiation, spreadsheets edited by many hands, and manuals that evolve.
