What is the Workspace Assistant?

It's an assistant you talk to like a person, and it helps you with real tasks: draft an email, summarize a meeting, find CRM opportunities closing soon, compare two clients, translate, plan a sprint.

Where is it?

You open it from the Productivity → Workspace menu. The screen has three zones: on the left, the list of your conversations; in the center, the active conversation; on the right (when relevant), the files or documents you create alongside the assistant.

Your first message

Type in the box at the bottom. A few examples to get going:

  • 'Summarize this week's meetings in 3 bullets each.'
  • 'Which CRM proposals do I have open that close in the next 15 days?'
  • 'Draft me a follow-up email for Karina with a warm but professional tone.'
  • 'Compare the clients Patitas Veterinary and Sol Beauty — which one am I further along with?'
  • 'Translate this text into English keeping the tone.'

Working with files

If you ask for something long ('Put together a brief for client X'), the assistant opens a document in the right panel. You edit it live while you chat with it to fine-tune it. At the end you can save it or export it.

Organized conversations

  1. To start a new topic, click 'New conversation' at the top left.
  2. The assistant gives it an automatic title based on the first message.
  3. Conversations are saved with their full history.
  4. To pick up an old one, click its title in the sidebar.

You want to start the day with a quick brief without opening 5 modules.

  1. You open the Workspace Assistant.
  2. You tell it: 'Give me a summary of what matters for today: urgent tasks, calendar events and proposals that need attention.'
  3. It answers in 10 seconds with a 3-5 point brief.

You know exactly where to put your focus. Without opening Daily Plan, Calendar and CRM separately.

The assistant says 'I don't have access to that information'.

It's a permissions issue. If your role can't see the CRM, the assistant can't look it up for you either. Ask the admin to grant you the corresponding permissions.

Frequently asked questions

How is it different from a generic chatbot?
The main difference is that the AI Workspace knows your Pilot information: your clients, your CRM opportunities, your tasks, your calendar, your meetings, your notes. You don't have to paste in data for it to help — it looks things up when it needs them. You ask 'draft a follow-up for client Karina' and it reads the real history with her before writing. A generic chatbot asks you to copy in the context every time; the AI Workspace already has it.
What information does the assistant have access to?
Only what your role can see. If you're a sales rep, it accesses your CRM and your clients; if you're an admin, also billing and costs; if you're operational, your assigned tasks and projects. The assistant respects the same permissions as the rest of Pilot — it's not a side door. If it says 'I don't have access to that information,' it's because your role can't see that module. This permission transparency also protects sensitive data: the sales team won't see salaries by asking the assistant, nor will support see margins.
Does it run actions for me, or just draft and summarize?
In this version, the AI Workspace is mainly conversational and for drafting: it builds drafts, summarizes meetings, finds opportunities, compares clients, translates, plans. It doesn't send emails for you, change CRM data or close proposals. The final action is yours. That's deliberate: most costly mistakes happen when a copilot acts without review. If you want an assistant to run actions (move opportunities, create tasks, send messages), the Assistants by Role module is built for that.
Are conversations saved?
Yes. Each conversation is saved with an automatic title based on the first message, and you can pick it up anytime from the sidebar. Useful for returning to a topic from last week without re-explaining context. If you asked 'build me a brief for client X,' the document stays linked to that conversation and you can keep editing it with the assistant's help days later. To start a completely new topic, you open 'New conversation' at the top left.
How much does it cost?
The AI Workspace comes in plans that include AI capabilities. Usage is metered (number of messages and volume of context), with monthly credits depending on the plan.
